    Related issues

Managing large volumes of data leads to prolonged export times and timeouts on the e-commerce site’s hosting server.

API limitations can also restrict the frequency and volume of data exports.

Format compatibility issues between different systems require data conversions, which carry risks of data integrity loss and heavy server resource usage.

Integrating data from multiple sales channels presents challenges in harmonization and consolidation.

It is necessary to handle the accounting plan to correctly categorize transactions according to current accounting standards, with appropriate accounting codes for different operations (sales, refunds, shipping fees, VAT, etc.).

    Case studies

An IT services company sells fixed-price services on its website. Some of these services are recurring and offered as subscriptions.

The site generates about 500 invoices annually for a base of around 300 active clients. These clients consist exclusively of small businesses or associations primarily located in France, Belgium, Luxembourg, and Switzerland.

A web interface has been made available to the company’s accounting firm. This allows the accounting firm to independently download the sales ledger of its client.

The format of the sales ledger was custom-designed in collaboration with the IT service provider’s accounting firm. The goal is for the downloaded file to be directly usable in the accounting software of the firm.

Thus, the accounting firm can retrieve an up-to-date sales ledger whenever needed, which can be imported directly into their accounting software.

The data is available when needed, saving valuable time.

Processing the sales data from the site requires no additional handling, resulting in time savings and improved reliability.

The implemented gateway was developed taking into account the IT company’s accounting plan.

Sales information is retrieved from the WooCommerce site and the client’s CRM: product amounts excluding tax, category of each product, applied VAT rate, invoice chronology, client ID, etc.

A mapping is performed automatically with the correct accounting codes: product code, client code, VAT code, and so on.
